Position Summary:
The Administrative Assistant will ensure the efficient day-to-day operation of the Single Room Occupancy building’s administrative office and support the work of management, maintenance, and security.
Principal Responsibilities:
- Oversee daily operations as assigned by the Residence Director.
- Provide administrative/clerical assistance to building management staff.
- Maintain resident files according to DHS/HRA/HPD regulations.
- Process maintenance work orders and prepare reports as assigned.
- Manage rent collection and tenants in arrears.
- Assist with collection of resident documents for re-certifications.
- Prepare reports as required by DHS/HRA/HPD and regulators.
- Prepare notices to residents.
- Coordinate schedules for building management, desk clerks, and contracted security.
- Maintain office supply inventory; manage procurement documentation and purchase authorizations.
- Ensure staff complete timesheets and submit vacation requests to manager.
- Manage on-site vendors.
- Manage Coordinated Assessment Placement system as required by DHS/HRA/HPD.
- Vacancy Control - schedule interviews; process move ins and move outs.
- Ensure compliance with all city, state, federal, and funder regulations.
- Additional responsibilities as assigned.

Skill and Education:
- High School Diploma (required).
- Post secondary education in Business, Computers, or Office Management (preferred).
- 1-3 years of work experience in an office setting.
- Proficiency in Microsoft Office Suite.
- Bilingual-English/Russian (preferred).
- Experience with DHS/HRA/HPD, CAPS and Salesforce (preferred).
Compensation: $20 - $22 per hour.
